    Position Summary: Executive Coordinator

     

    Dignity Health, the nation's fifth largest Health Care System is currently looking for an Executive Coordinator to join their corporate team.  The Executive Coordinator performs a variety of complex secretarial and administrative duties for the Sr. Vice President of Patient Safety & Clinical Risk Management.

     

    Core Duties: 

     

    • Performs diversified secretarial and administrative duties of a confidential nature which relieve executive of administrative details.
    • Maintains executive's daily calendar, schedules appointments and conferences, and makes necessary travel arrangements. Assembles necessary background materials for executive's scheduled meetings. Organizes agenda notices and ensures proper distribution. Will attend meetings to organize and transcribe minutes.
    • Receives visitors and screens questions and requests. Interviews telephone callers and makes proper referrals. Frequently interfaces at the management level both internally and externally on matters relating to executive's activities and requirements.
    • Assists executive in preparing complex Board documents and presentations, which requires outstanding levels of proofreading, formatting/word processing.
    • Independently composes routine correspondence and non-routine complex letters from verbal instruction. Reviews materials prepared by others for supervisor's signature to assure procedural and typographical accuracy.
    • Helps coordinate video teleconference and webex meetings.
    • Sets up and maintains files and databases of highly confidential data and Information of major importance.
    • Receives mail and administers organizational correspondence control. Independently answers correspondence or takes appropriate action when possible.
    • Handles requests which require detailed knowledge of department policies and procedures. Assists in communicating executive's requirements and expectations.
    • Distribute, update, and manage electronic documents.
    • May transcribe/draft documents into final form, clerically and grammatically editing material when necessary.
    • Compiles highly confidential data from various sources to integrate into regular and/or special reports. Independently contacts appropriate sources to obtain necessary information.
    • Assists and potentially lead system wide conferences
    • Assists other department team members with any and all special projects accurately, adhering to tight deadlines.
    • Processes and reconciles expense reports and monthly charge card reports.
    • Responsible for processing invoices.
    • Performs other duties as assigned.

    Qualifications

    Minimum Requirements: 

    • High School graduate with emphasis on clerical business preparation. Associate of Arts or Bachelor of Arts degree not necessary with adequate experience; however, it is highly desirable.
    • At least five years of secretarial experience with top management in a healthcare or corporate environment or other comparable business experience.
    • Must have organizational and supervisory skills, experience in multi-task coordination, and the ability to relate to a variety of personalities. .
    • Excellence in writing, editing, desktop applications (Microsoft Office Suite) and word processing is essential.
